We are going through the process of email migration in our day-to-day life. Yes! Sending a mail from one client to another client is commonly called as email migration. Either it may be single mail or countless mail whatever it is the process is said to be email migration. There are protocols which helps you to send emails such as SMTP, IMAP and POP3.

SMTP – Simple Mail Transfer Protocol (Crossing over the internet, it plays a major role to send emails by the server. Server uses this protocol to send emails.)

IMAP – Internet Message Access Protocol (For accessibility, clients like local used to be in touch with a remote server.)

POP3 – Post Office Protocol (A local client receives mail from a remote server which acts as standardized protocol forever.)

There was a repeated question from the customers to change Outlook settings from POP to IMAP.

We have found four steps to change the settings:
  1. Start doing mailbox backup
  2. Don’t have second option to delete the POP account
  3. Do settings for an IMAP account
  4. Mailbox restoration
Start doing mailbox backup:

If you start the process of changing POP to IMAP then know the real fact that existing emails will be deleted. So, backing up the mailbox is a must before changing POP to IMAP.

Step 1: Log in to Outlook and then search “File”

Step 2: On the left side of the Outlook, you can see a few menus such as info, open and export, save as, print, office account, feedback and support. Choose the options open & export to select import/export which is the third option.

Step 3: After clicking on the import/export, you can see the option “Export to a file”. Tap on that and click on the button “Next”.

Step 4: It shows the list of the file so that you can select the file type “Outlook Data File (.pst)

Step 5: Tap Next button. Choose the mailbox for which you need to take backup also don’t forget to check the box called “Include subfolder”. Again tap on Next button.

Step 6: To save the backup, select the file location. It will be stored inside the selected file. Finally, tap on the finish button simultaneously set password for the backup. It's for your security purpose!

Don’t have second option to delete POP account:

You have completed the backup process. Now, you can start deleting the POP account from the computer.

Note: You must also delete the POP account if you access mail from another device.

Step 1: Go to Outlook and then select the file. Inside file option, tap on the info.

Step 2: Choose the account setting option! Now, choose the email account for deleting the POP account. It gives the warning message “All the offline messages will start deleting”. Tap on Yes option!

Do settings for IMAP account:

Step 1:
Go to Account setting option to tap on the New button. You need to create a new account for email. Or else, try by tapping on the file present at the top. You will be getting the option called “Add account”.

Step 2: Next step is to choose additional server types or manual setup. Tap on Next button.

Step 3: It displays the option “choose your account type” to choose IMAP or POP. Again press on the button “Next”.

Step 4: Here, you are creating an account for IMAP. So, choose IMAP as the setting it also asks you to fill a few details. Once if you enter all the details tap on OK > Next > Close > Finish.

Mailbox restoration:

Restoration helps to bring the emails from old account to new account.

Step 1: Go to Outlook and then click on the file. Tap on open & export and then select import/export.

Step 2: Choose import file or import program and then tap on Next.

Step 3: Choose .pst file type “Outlook Data File” and then tap on Next.

Step 4: Go to the location where you have saved email backup. Enter the password if you have enabled password settings. Again, you need to choose a folder to save restoration. Finally, click on the button “Complete”.

You can also use Outlook to migrate email to cPanel:

  • Both users must have proper active emails.
  • The client of the email should have protocols like SMTP/POP/IMAP etc.
Just give a drag option to migrate the old one to the new one by following the below steps:

  • The old server hosted email account:
Here, the email account should be set up already for skipping this step. In case, if you failed to get your old email account then doesn’t worry. Contact the provider for setting up an email account.

  • The new server hosted email account:
Step 1: In your cPanel account, go to the section “email” and the choose email accounts.

Step 2: Search for the option “+Create”. You will be displayed with the drop-down list of the domain name. Choose the domain name to set a password and username.

Step 3: After setting up the username and password, tap on +Create button. Next to the login button, you can see check email option.

Note: Don’t choose the sub domain like mail.yourdomain.com. Better go for incoming-outgoing server name for configuring hostname server.

Finally, do transfer email account from old server to new server:

The email client displays the email account of the new and old one. By now, the old account has all previous emails and the new one doesn’t have any emails it means empty. Just drag the old account into a new account. That’s it! You have done email migration successfully. You are now free to transfer one or more emails simultaneously.

You have completed the changes on DNS record. Usually, it takes one full day to reach server which you created newly. Overall, you can delete the mails from the old account. Your new account is filled with the existing emails as per email migration methodology.
